Job Summary
The Office Assistant will help run the office daily alongside the Office Manager and be the main point of contact/communication for customers. Daily objective for the position is to ensure the best positive experience for customers, vendors and technicians by answering inquires promptly, providing friendly customer service and handling situations effectively and efficiently as they arise.
Reporting Relationship
- Reports to: Office Manager and General Manager
- Works in conjunction with: Detail Technicians
Job Requirements
- Education: High School Diploma, GED, or equivalent.
- Licenses: Valid Driver’s License.
- Physical: Be able to walk or stand for long periods of time. Ability to lift minimum 15 lbs.
- Experience: Minimum six (6) months of office and/or customer service experience.
- Skill: Knowledge of Microsoft Outlook, Microsoft Excel and Microsoft Word; Ability to make incoming and outgoing phone calls; basic knowledge of automobiles make, model and components; Ability to self-motivate and manage time while on shift.
Preferred (But Not Required) Knowledge/Skills
- Ability to drive a manual transmission

Duties/Responsibilities
- Opening and closing procedure
- Handling incoming and outgoing phone calls
- Calling dealerships and vendors for quotes and/or ordering parts
- Address and reply to emails
- Solve (or redirect to manager) customer complaints and inquiries
- Office cleaning maintenance (vacuuming, sweeping, dusting, etc)
- Ordering and restocking supplies in office and in shop
- Schedule customers for services
- Create quotes and proposals
- Assess vehicles with customers to estimate services
- Recommend services and products that will remedy customer concerns
- Confirmation/reminder calls for customers
- Maintain online presence (facebook, instagram, etc)
- Communicate changes and customer concerns to proper management and technicians
- Update invoices and maintain calendar appointments accurately
- Sending out holiday emails (6 emails a year)
- Reasonable tasks asked of Owner/President, and reporting Office and General Managers (assigning vehicles, cleaning detail bays, collecting and returning recyclables to proper bins, dropping off vehicles to customers)
Hours
- 1pm – 6pm Monday -Friday
- 7:30am – 12pm Saturdays (Alternating with Office Manager)
